Once you have created and set up your form, the next step is to send it to your colleagues to gather their responses. This process is essential for collecting valuable feedback or data efficiently. -
Collecting Responses
To begin collecting responses, press the 'Collect Responses' button. You will need to determine who can respond to your form. You have the option to allow everyone in your organization to respond or to limit access to specific individuals. -
Setting Response Preferences
If your form includes an upload file field, the 'Anyone can respond' option will not be available. This is because uploaded documents are stored directly in your OneDrive, which requires users to have a Microsoft account. You can choose to give access to all employees or restrict it to certain individuals or groups by specifying their names. -
Sharing the Form
Microsoft Forms generates a link for your form. To share it, press 'Copy Link' and send it to the relevant colleagues. You can also shorten the URL by checking the appropriate box. Additionally, you can invite coworkers or groups by providing their names or Microsoft Teams chat/channel email addresses, along with a personalized message. -
Using Microsoft Teams for Invitations
If you select the option to send invitations via Teams, it will create a new conversation with your recipients. This feature enhances communication and ensures that your colleagues receive the invitation directly. -
Creating a QR Code
Microsoft Forms allows you to create a QR code in PNG format. Users can scan this code with their smartphones or tablets to access the form. This is particularly useful for distributing your form through flyers or posters. -
Embedding the Form
You also have the option to embed your form in a web page or Sway. To do this, simply copy the provided code and paste it into the designated area on your page. This feature makes it easy to integrate the form into existing digital content. -
